1. Who we are

“We,” “us,” and “our” mean Oregon Vacation Homes LLC, an Oregon limited liability company doing business as My Oregon Vacations, with its principal place of business at PO Box 82, Brightwood, OR 97011-0082.

We are a vacation rental property management company serving the Mt. Hood region of Oregon. We manage short-term rental homes on behalf of the owners who entrust them to us, and we host the guests who stay in them.

For the purposes of applicable data protection laws, Oregon Vacation Homes LLC is the controller of the personal information described in this policy.

2. Who this policy covers

This policy explains how we handle personal information for three groups of people:

  • Guests — anyone who inquires about, books, stays in, or travels with someone staying in a property we manage.

  • Property owners — anyone who contacts us about our management services, receives a proposal or pro forma from us, or signs a property management agreement with us.

  • Website visitors and subscribers — anyone who visits myoregonvacations.com, signs up for our emails or texts, fills out a form, or otherwise interacts with us online or offline.

Together, our website, booking tools, owner portal, marketing communications, guest communications, and property management services are the “Services.”

This policy does not cover:

  • Information you provide directly to Airbnb, Vrbo, Booking.com, or another booking platform. Those companies have their own privacy policies and are independently responsible for the data they collect.

  • Employment applications, which are handled under a separate notice available on request.

3. What we collect

3.1 Information you give us directly

If you’re a guest:

  • Name, email address, phone number, and mailing address

  • Booking details — the property, dates, number of guests, and names or ages of others in your party

  • Government-issued ID or age verification, where a property, an owner, or local law requires it

  • Special requests, accessibility needs, and preferences you share with us

  • Reviews, survey responses, and feedback

  • Payment information (see the note below)

  • If you’re a property owner or prospective owner:

  • Name, email address, phone number, and mailing address

  • Property address, photos, features, permit and license numbers, HOA details, insurance information, and utility or vendor account details

  • Financial information needed to pay you and to meet tax obligations — bank account or ACH details, taxpayer identification number, and W-9 information

  • Business entity information, ownership structure, and the identity of authorized signers

  • Information you share during a valuation, pro forma, or onboarding conversation

If you subscribe, inquire, or communicate with us:

  • Contact details and marketing preferences

  • The content of your emails, texts, voicemails, chat messages, and form submissions

  • Information you provide in surveys, promotions, sweepstakes, or contests

A note on payment information. Card and bank details are collected and stored by our third-party payment processors, not by us. We receive only limited information such as the last four digits of a card, the card brand, and whether a transaction succeeded. Our processors’ handling of your payment data is governed by their own privacy policies.

3.2 Information we collect automatically

When you visit our website or open our emails, we and our service providers may automatically collect:

  • IP address, approximate location derived from it, browser type, operating system, and device identifiers

  • Pages viewed, links clicked, referring URL, search terms that brought you to us, and time spent on the site

  • Whether you opened an email and which links you clicked

  • Information collected through cookies and similar technologies, described in Section 4

We do not collect precise geolocation from your device unless you affirmatively grant that permission.

3.3 Information we receive from others

We also receive personal information from sources other than you:

  • Booking platforms. When you book through Airbnb, Vrbo, Booking.com, or a similar channel, that platform sends us the information we need to host you — typically your name, the contact details they choose to share, your booking details, and your platform review history. Some platforms mask your email address behind a relay.

  • Our property management and booking software, channel managers, and guest messaging tools.

  • Payment processors and financial institutions, which confirm transactions and flag potential fraud.

  • Property owners, who may give us contact information for their vendors, HOAs, or authorized representatives.

  • Smart lock, noise monitoring, and smart home platforms used at properties we manage, as described in Section 10.

  • Public records and commercial sources — county property records, licensing databases, and business data providers — which we use to identify and contact property owners who may be interested in our services.

  • Marketing and analytics partners, and social media platforms where you engage with our content.

4. Cookies and tracking technologies

We use cookies, pixels, tags, and similar technologies to run our website and understand how it’s used.

You can control cookies through your browser settings, through our cookie banner where one is presented, and through industry opt-out tools such as the Digital Advertising Alliance’s optout.aboutads.info and the Network Advertising Initiative’s optout.networkadvertising.org. Blocking cookies may affect how parts of the site work.

Do Not Track and Global Privacy Control. Browsers send a “Do Not Track” signal that has no agreed-upon standard, so we do not currently respond to it. We do honor the Global Privacy Control (GPC) signal where applicable law requires it. If your browser sends a GPC signal, we treat it as a request to opt out of the sale of personal information and of targeted advertising for that browser.

5. How we use your information

We use personal information to:

  • Book and host stays — confirm reservations, send arrival instructions and door codes, answer questions during your stay, and handle check-out

  • Manage properties on behalf of owners — coordinate cleaning, maintenance, and inspections; report on performance; calculate and remit owner payouts

  • Process payments, deposits, refunds, damage claims, and lodging taxes

  • Communicate with you — respond to inquiries, send service updates, and provide customer support

  • Send marketing — newsletters, property availability, seasonal offers, and owner-focused materials, subject to the choices in Section 9

  • Set nightly rates and analyze market performance. We use automated pricing and market analysis tools that draw on booking patterns, seasonality, local events, and competitor rates. These tools work with aggregated market data and do not make decisions that produce legal or similarly significant effects about you as an individual.

  • Improve our Services — understand how the site is used, test changes, and develop new features

  • Run promotions, contests, and surveys

  • Protect our Services — detect and prevent fraud, property damage, unauthorized parties, and other misuse

  • Meet our legal and contractual obligations — tax reporting, short-term rental permit and registration requirements, insurance, recordkeeping, and responding to lawful requests

Automated tools and AI. We use AI-assisted tools to help draft and route guest and owner communications, summarize messages, and support pricing analysis. A member of our team remains responsible for decisions that affect you. Where we use third-party AI services, we do so under agreements that restrict them from using your information to train their general-purpose models.

6. Our legal basis for processing

If you are in a jurisdiction that requires a legal basis for processing — such as the European Economic Area or the United Kingdom — ours will be one of the following:

  • Performance of a contract — to deliver a booking you made or the management services an owner agreed to

  • Consent — for marketing emails and texts where consent is required, and for non-essential cookies. You may withdraw consent at any time.

  • Legitimate interests — to run, protect, and improve our business, so long as your rights don’t override those interests

  • Legal obligation — tax, licensing, safety, and recordkeeping requirements

  • Vital interests — in rare cases involving someone’s health or safety

7. How we share your information

We share personal information only as described here.

  • Property owners. We share guest booking and stay information with the owner of the property you’re staying in, as needed for them to understand activity at their home and meet their own legal obligations.

  • Service providers. Cleaning and maintenance crews, guest services vendors, payment processors, booking and property management software, email and SMS platforms, analytics providers, insurers, accountants, and attorneys — each acting on our instructions and under contracts that limit what they can do with your information.

  • Booking platforms. We exchange information with Airbnb, Vrbo, Booking.com, and similar channels to keep listings, availability, and reservations in sync.

  • Government authorities. Where a city, county, or state requires it — lodging tax filings, short-term rental registration, and occupancy reporting.

  • In a business transaction. If we’re involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction. We’ll notify you if a transfer means your information becomes subject to a materially different privacy policy.

  • When legally required or to protect people and property. To comply with a subpoena, court order, or other legal process; to enforce our agreements; or where we have a good-faith belief that disclosure is necessary to protect the safety, rights, or property of any person.

We may also share aggregated or de-identified information that cannot reasonably be used to identify you.

8. We do not sell your personal information

We do not sell your personal information for money, and we do not share it for cross-context behavioral advertising in a way that requires an opt-out under state law.

Some state privacy laws define “sale” broadly enough to include certain advertising cookie arrangements. To be safe: if you’d prefer we not use advertising or analytics cookies that involve third parties, use our cookie controls or send a GPC signal, and we’ll honor it.

We never share mobile phone numbers or SMS consent with third parties for their own marketing purposes.

9. Email and text message choices

Email. Every marketing email includes an unsubscribe link at the bottom. You can also email privacy@myoregonvacations.com and ask us to stop. We honor opt-outs promptly.

Text messages. If you give us your mobile number and agree to receive texts, we may send you booking and stay information, owner updates, and — separately, and only if you opt in — promotional messages.

  • Message frequency varies. Message and data rates may apply.

  • Reply STOP to any message to opt out. Reply HELP for help, or contact us at privacy@myoregonvacations.com.

  • Consent to receive marketing texts is not a condition of booking a stay or of any purchase.

  • Mobile opt-in data and consent are never sold, rented, or shared with third parties for their marketing purposes.

  • Carriers are not liable for delayed or undelivered messages.

Transactional messages continue. Even if you opt out of marketing, we’ll still send messages you need — booking confirmations, door codes, arrival and departure details, billing notices, owner statements, and important service or legal notices.

10. Devices in our properties

Properties we manage may use connected devices for security and property protection. Where these are present, we disclose them in the listing and in your arrival information.

  • Smart locks and keypads record entry events — the code used and the time. We use these to confirm access and investigate incidents.

  • Exterior cameras and video doorbells, where present, monitor entry points and the property exterior only.

  • Decibel-based noise monitors, where present, measure sound levels to detect parties and disturbances. They do not record or transmit audio and cannot capture conversations.

We do not use cameras, recording devices, or monitoring equipment of any kind inside a property, including in bedrooms, bathrooms, and interior living spaces. If you believe you’ve found an undisclosed device at a property we manage, contact us immediately at privacy@myoregonvacations.com.

11. How we protect your information

We maintain administrative, technical, and physical safeguards designed to protect personal information — including encryption in transit, access controls that limit information to team members who need it, multi-factor authentication on our core systems, and vendor agreements that require appropriate security.

No method of transmission or storage is completely secure, so we can’t guarantee absolute security. If a breach affecting your personal information occurs, we’ll notify you and the appropriate authorities as required by law.

12. How long we keep your information

We keep personal information only as long as we need it for the purpose it was collected, plus any period required by law.

When we no longer need information, we delete it or de-identify it. We may retain information longer where necessary to comply with a legal obligation, resolve a dispute, or defend a legal claim. More detail on our retention schedules is available on request.

13. Your privacy rights

Depending on where you live, you may have some or all of the following rights:

  • Know and access — ask what personal information we hold about you and get a copy

  • Correct — ask us to fix information that’s inaccurate

  • Delete — ask us to delete your personal information

  • Portability — receive your information in a portable, machine-readable format

  • Opt out — of targeted advertising, the sale of personal information, and certain profiling

  • Withdraw consent — where we rely on consent

  • Non-discrimination — we won’t deny you services, charge you a different price, or give you a lesser experience for exercising these rights

  • Appeal — if we deny your request, you may appeal, and we’ll respond in writing with our reasoning

How to make a request. Email privacy@myoregonvacations.com or write to us at the address in Section 18. We’ll verify your identity before acting — usually by confirming information we already have on file — and respond within the timeframe the applicable law requires, generally 45 days. An authorized agent may make a request on your behalf with proof of authorization.

Oregon residents. The Oregon Consumer Privacy Act gives Oregon consumers the rights listed above, including the right to obtain a list of the specific third parties to which we have disclosed personal information. We honor these requests regardless of whether the Act’s business-size thresholds apply to us. If we deny your request, you may appeal to us, and if the appeal is denied you may submit a complaint to the Oregon Department of Justice at justice.oregon.gov/consumercomplaints or by calling 1-877-877-9392.

Residents of other states. California, Colorado, Connecticut, Virginia, Texas, Washington, and other states provide similar rights. We apply the protections in this section to all U.S. residents rather than maintaining separate processes by state.

EEA and UK residents. In addition to the rights above, you may object to or request restriction of processing, and you may lodge a complaint with your local supervisory authority.

14. Children’s privacy

Our Services are directed to adults. We do not knowingly collect personal information from anyone under 16, and we do not sell or share the personal information of anyone under 16.

We do collect the names and ages of minors traveling in a booking party when a guest provides them, because occupancy limits and property rules require it. That information is provided by the booking adult, is used only for that stay, and is not used for marketing.

If you believe a child has provided us personal information, contact us at privacy@myoregonvacations.com and we’ll delete it.

15. Third-party sites and platforms

Our website and communications may link to sites we don’t control — booking platforms, local business recommendations, mapping services, and social media. This policy doesn’t cover those sites, and we’re not responsible for their practices. We encourage you to read their privacy policies before providing information.

16. Visitors from outside the United States

We’re based in the United States, and the information we collect is processed and stored here. U.S. data protection laws may differ from those in your country, and U.S. government authorities may be able to access information under U.S. law.
